Power & Peace: A bZenYoga Adventure Retreat in Costa Rica

Please read these Terms & Conditions carefully before registering for Power & Peace. By registering for the Retreat, submitting payment, and/or signing the Retreat Agreement, you acknowledge that you have read, understand and agree to these Terms.
These Terms & Conditions (“Terms”) apply to participation in Power & Peace: A bZenYoga Adventure Retreat in Costa Rica (“Retreat”), organized by bZenYoga (“bZenYoga,” “we,” or “us”).
By registering for the Retreat and submitting a reservation deposit, you (“Guest” or “Participant”) acknowledge that you have read, understand, and agree to these Terms.
1. Retreat Dates & Participation
Power & Peace will take place in Costa Rica from March 5–12, 2027.
The Retreat is designed as an active yoga, wellness, nature and adventure experience. Planned activities may include yoga, SUP/SUP Yoga, hiking, rainforest and waterfall excursions, swimming, hot springs, cultural and culinary experiences, whitewater rafting, wellness activities and ground transportation.
Participation in individual activities is voluntary unless otherwise required by a third-party provider for logistical or safety reasons.
The Retreat is limited to approximately 10 paying guests plus retreat leaders, subject to accommodation and operational requirements.
2. Retreat Price & Accommodation
The total Retreat price is based on the accommodation category selected at registration:

Shared Retreat Room — $3,500
-
Premium Shared Room — $4,000
-
Private King Room — $4,500
Accommodation configurations vary among the Retreat's locations. A selected category does not necessarily represent the same bedroom, bed type, or roommate configuration at every property.
Specific rooms may be assigned based on the overall needs of the group. bZenYoga will make reasonable efforts to honor roommate requests but cannot guarantee a particular roommate, room, view, or property location unless expressly confirmed in writing.
3. Reservation Deposit & Payment Schedule
A $750 non-refundable reservation deposit is required to secure a place on the Retreat. The deposit is credited toward the total Retreat price.
For Guests selecting the payment plan:
At booking: $750 reservation deposit
December 1, 2026: 50% of the remaining balance
February 1, 2027: Final remaining balance
Guests may choose to pay the full Retreat price at registration.
Bookings made after February 1, 2027 require payment in full.
Failure to make a scheduled payment may result in cancellation of the reservation after reasonable notice. Amounts previously paid remain subject to the cancellation terms below.
4. Guest Cancellation & Refunds
The $750 reservation deposit is non-refundable.
If a Guest cancels on or before November 5, 2026, payments made above the $750 deposit will be refunded, less non-refundable payment-processing charges and any nonrecoverable expenses incurred specifically on the Guest's behalf.
Beginning November 6, 2026, all Retreat payments are non-refundable, regardless of the reason for cancellation, except where otherwise required by applicable law.
This policy applies to circumstances including illness, injury, family or work emergencies, changes in personal circumstances, flight disruptions, weather events, and other unforeseen circumstances.
For this reason, comprehensive travel insurance is strongly recommended.
5. Reservation Transfers
If a Guest can no longer attend, the Guest may request permission to transfer the reservation to another eligible participant.
Transfers are subject to:
-
prior written approval from bZenYoga;
-
availability and suitability of the accommodation;
-
third-party vendor requirements;
-
completion of all required registration documents and waivers by the replacement Guest; and
-
payment of any additional costs resulting from the change.
The original Guest is responsible for identifying a replacement participant. bZenYoga is not responsible for filling a cancelled space.
6. What Is Included
Final inclusions will be identified on the Retreat sales/registration page and/or final guest itinerary.
Planned inclusions may include accommodations, specified meals, yoga and SUP Yoga instruction, designated excursions and activities, wellness experiences, group ground transportation during specified portions of the Retreat, and other experiences expressly identified as included.
Only items specifically identified as included should be considered part of the Retreat price.
7. What Is Not Included
Unless expressly stated otherwise, the Retreat price does not include:
-
airfare to or from Costa Rica;
-
transportation outside designated group transfers;
-
passport or other travel-document expenses;
-
travel insurance;
-
meals, beverages or activities identified as optional or not included;
-
personal purchases;
-
medical expenses;
-
additional spa/wellness services;
-
excess baggage charges; or
-
expenses resulting from a Guest's delayed arrival, early departure or itinerary deviation.
8. Travel Arrangements & Documentation
Guests are responsible for arranging transportation to Costa Rica and ensuring they possess all passports, travel documents and entry requirements necessary for travel.
Guests should not purchase non-refundable airfare solely in reliance on the Retreat operating as originally scheduled and are strongly encouraged to insure independently purchased travel arrangements.
Designated group-transfer times and locations will be communicated before departure. Guests arriving or departing outside those arrangements are responsible for their own transportation and associated expenses unless otherwise agreed in writing.
9. Travel Insurance
bZenYoga strongly recommends comprehensive travel insurance promptly after booking.
Guests should consider coverage for trip cancellation and interruption, medical treatment, emergency evacuation and repatriation, flight disruption, baggage loss or delay, and the adventure activities contemplated by the Retreat.
Each Guest is responsible for reviewing the terms, exclusions and activity coverage of their own policy. bZenYoga does not determine whether any particular insurance policy is adequate for an individual Guest.
10. Health, Fitness & Participation
Guests are responsible for determining whether they are physically and medically able to participate in the Retreat and its activities.
Guests should disclose information reasonably necessary for bZenYoga or an activity provider to accommodate known dietary restrictions, allergies or participation limitations.
Guests are responsible for consulting an appropriate healthcare professional when they have questions concerning their ability to participate.
Participation in any particular activity may be restricted or denied by bZenYoga or a third-party activity provider when reasonably necessary for safety.
11. Assumption of Risk & Third-Party Activities
The Retreat includes travel and outdoor/adventure activities that involve inherent risks.
These may include, without limitation, yoga, SUP/SUP Yoga, swimming, hiking, waterfalls, uneven or slippery terrain, rainforest environments, wildlife, hot springs, boating, whitewater rafting, road transportation, changing weather and water conditions, and activities provided by independent third parties.
Guests acknowledge that these activities may involve risks of injury, illness, property loss, transportation incidents and other foreseeable or unforeseeable hazards.
Participation is voluntary, and Guests accept the inherent risks associated with the activities they choose to undertake.
Third-party activity providers may require Guests to sign their own releases, waivers or participation agreements. Failure to satisfy a provider's participation requirements may prevent participation in that activity without creating an entitlement to a refund from bZenYoga.
12. Itinerary Changes
The published itinerary represents the Retreat experience bZenYoga intends to provide but is not a guarantee that every activity will occur exactly as described.
Costa Rica's weather, water levels, road conditions, transportation, safety considerations, vendor availability and other circumstances may require changes.
bZenYoga reserves the right to reasonably modify the order, timing, location or nature of activities, accommodations, meals, transportation or other itinerary components when necessary or appropriate.
When practical, bZenYoga will attempt to provide a reasonably comparable alternative.
Reasonable itinerary changes do not constitute cancellation of the Retreat and do not automatically entitle a Guest to a refund.
13. Conduct & Group Experience
Guests are expected to treat fellow participants, retreat leaders, local residents, staff, guides, vendors and property with respect.
Behavior that jeopardizes safety, substantially disrupts the group experience, violates applicable law or property/vendor rules, or involves harassment, threats or abusive conduct may result in removal from an activity or the Retreat.
A Guest removed for such conduct is responsible for resulting transportation, accommodation or other expenses and is not entitled to a refund for unused Retreat services, to the extent permitted by law.
14. Alcohol & Personal Responsibility
Where alcoholic beverages are available, Guests are responsible for their own consumption and conduct.
A Guest may be prohibited from participating in an activity when a retreat leader or third-party provider reasonably believes alcohol, medication, illness, impairment or other circumstances make participation unsafe.
15. Food, Allergies & Dietary Needs
bZenYoga will make reasonable efforts to communicate disclosed dietary restrictions and food allergies to accommodation and food providers.
Because meals may be prepared by independent vendors and in kitchens that handle multiple ingredients, bZenYoga cannot guarantee an allergen-free environment.
Guests with serious allergies or specialized dietary requirements are responsible for determining whether available arrangements are appropriate for them and should carry any medications or emergency supplies recommended by their healthcare provider.
16. Cancellation by bZenYoga / Events Beyond Our Control
bZenYoga may cancel, postpone or materially modify the Retreat when necessary because of insufficient enrollment, safety concerns, natural disaster, severe weather, government action, civil disruption, transportation interruption, vendor failure, public-health circumstances or other events that make operation impossible, unsafe or impracticable.
The financial obligations of bZenYoga in these circumstances—including treatment of recoverable and nonrecoverable vendor payments—will be governed by the final Retreat Agreement and applicable law.
bZenYoga is not responsible for independently purchased airfare, accommodations or other travel expenses except where required by law.
17. Photography & Media
Photography and video may be taken during the Retreat.
I give bZenYoga permission to use photographs/video in which I appear for promotional and educational purposes.
18. Personal Property
Guests are responsible for their own luggage, valuables and personal belongings throughout the Retreat.
bZenYoga is not responsible for loss, theft or damage to personal property except to the extent responsibility cannot legally be excluded.
19. Acknowledgment of Independent Providers
Certain accommodations, transportation, excursions, meals, wellness services and adventure activities are provided by independent third-party businesses.
Those providers may establish their own terms, safety requirements, cancellation rules and waivers. Guests agree to comply with reasonable provider requirements applicable to the services they choose to use.
20. Agreement
By registering, paying the reservation deposit and/or signing the Retreat Agreement, the Guest acknowledges that they:

have read and understand these Terms;

understand the payment and cancellation policy;

understand the nature of the Retreat and its planned activities;

accept responsibility for determining their ability to participate;

understand that itinerary changes may occur;
-
have been advised to obtain appropriate travel insurance; and
-
agree to comply with applicable safety instructions and third-party provider requirements.
